Back to field notes

A useful CRM handover starts with field mapping.

Give names, companies, event context, and notes a deliberate home in your CRM.

A contact can be well captured and still be difficult to use in a CRM. The issue is often the handover: a field ends up in the wrong place, the event context disappears, or a teammate cannot tell which record to use.

Field mapping connects a captured contact to the structure of your CRM. Scanicorn supports Salesforce and HubSpot integrations with mapping and testing workflows.

Start with the receiving team

Ask the people who will follow up what information they need. Names and contact details are only the starting point. The receiving team may also need the event, a relevant form answer, a note, or a clear activity history.

Do not map every possible field simply because it exists. Start with the fields that have a clear purpose and agree on how the team will review them.

Keep identity fields distinct

Map first name, last name, email, company, and title deliberately. A display name is not always a substitute for separate name fields. A company name is not automatically a website or account identifier.

Example field names differ between CRM systems and object types. The JSON tabs on this website are illustrative; they are not an API contract or a complete list of supported fields.

Check custom answers

Campaign-specific answers may need a corresponding CRM property. Confirm the property type and intended meaning before mapping. Text, dates, and multi-option answers should not be treated as interchangeable.

Test a representative record

Use a record that includes the fields your real campaign will collect. Review the destination values, not just whether the operation reports success. Include a missing optional field so you understand how an incomplete contact is handled.

Scanicorn provides integration test utilities. A test is a useful checkpoint before activating a workflow, but the result should still be inspected in the receiving system.

Retain the event context

The next teammate needs to know why the contact exists. Keep the source event or campaign recognizable, and decide where notes and responses belong.

Before a broader synchronization, confirm the receiving object, field meanings, and follow-up ownership. A careful mapping makes the record easier to work with and reduces the number of assumptions your team needs to make after the event.
